ICHP 2013 Gala - Call for Subcommittee Volunteers!

ICHP is celebrating 50 years of caring for patients, each other, and the profession of pharmacy during 2013! To honor this momentous milestone, ICHP’s celebrations will culminate with a gala on Friday, September 20, 2013! Please consider joining a subcommittee to help us plan the party you want!


Call for Subcommittee Volunteers

What: Planning Subcommittees for the ICHP 50th Anniversary Gala Year and Event
When: Gala Dinner Event will be on Friday, September 20, 2013
Where: Drury Lane, Oakbrook Terrace, IL.

Gala Planning Structure

2013 Gala Planning Committee – All subcommittees report to the Gala Committee.

Responsibilities include, but are not necessarily limited to:

  • Oversight and final approval of all Gala activities
  • Oversight and final approval of all Gala budgetary issues

I. Marketing & Communications – Chair and members;

Chair (Stephanie Lammi) reports to Gala Committee

Responsibilities include, but are not necessarily limited to:

·         Working on sponsorship and advertising materials

·         Working with Commemorative Subcommittee on adapting theme / logo ideas to souvenir items

·         Website page – participate with Facebook and Twitter postings

·         Create special invitation to the Annual Meeting and Gala

·         Create the Program Book for Gala – work with Commemorative Subcommittee

II. Sponsorships – Chair and members:
Chair (Desi Kotis) reports to Gala Committee

Responsibilities include, but are not necessarily limited to:

  • Promote sponsor packages to companies
  • Contact companies / schools – to buy a table?
  • Support employees and / or ICHP by purchasing ads, etc.
  • Other kinds of fundraising?  

III. Commemoration / History / Mini-Events
Chair (Avery Spunt) reports to Gala Committee
Responsibilities include, but are not necessarily limited to:

Commemoration

  • Special items for giveaway at Gala ONLY
  • Other items for sale throughout year
    • As giveaways at Spring Meeting
    • At special Affiliate Meetings
    • At Colleges of Pharmacy meetings
  • Develop ideas for commemorative items

History

  • Review of  History currently being written
  • Marketing History; available as giveaway or sale?
  • Program History Highlights

      Mini-Events

  • Design Year round mini events leading up to Gala
    • Spring Meeting event
    • Event at each affiliate – at a CPE / Dinner meeting for example?

 IV. Entertainment
Chair (Chris Rivers) reports to Gala Committee
Responsibilities include, but are not necessarily limited to:

  • Main form of entertainment TBD – focus on accessible ideas – awards and humor
  • Scripting
  • Staging and AV – work with Decorations
  • Reception / Dinner Music
  • Other? (e.g. photo booth – day only, or both day and evening…etc.)  

V. Decorations & Catering
Chair (Jaime Borkowski) reports to Gala Committee
Responsibilities include, but are not necessarily limited to:

  • Banquet set up – ambience, decorations, color scheme, flowers, etc.
  • Menu
  • Lighting; work with Entertainment Committee re: staging and AV Logistics
  • Photographer - On site

Other:  All additional tasks will be subsumed into one of these five subcommittees.

Subcommittee Logistics

1. How to Volunteer – Contact Maggie or Stephanie if you have questions. Apply by going to this link: http://www.surveymonkey.com/s/DG758NP. Your information will be forward to the appropriate Subcommittee Chair based on your interest. The Subcommittee Chair will then contact you about meeting procedures and possible projects.

  • Please note: Subcommittee membership is limited. Meetings may begin as soon as July.

2. A member of the Gala Committee is serving as Chair of each Subcommittee.

3. Each Subcommittee Chair will report back to the main Gala Planning Committee at the monthly meetings.

4. Subcommittee Chairs will bring the subcommittee final recommendations to the full Gala Committee for final vote and approval of recommendations. 

·         Please NOTE: The Gala Committee has the final approval on all matters, including budget, pertaining to the Gala event.

 

5. Subcommittee Meeting frequency – Once a month through 2012, beginning in July. Each subcommittee chair may poll subcommittee members to determine if more frequent meetings are needed, and what are the most convenient days of the month.

·         Please NOTE: Some subcommittees may need to meet at least 2 times a month beginning in January 2013. This will depend on their type of responsibilities.

 

6. Meeting method – all meetings will be done via conference call, at pre-determined set times that are convenient for the majority of subcommittee members.

·         Volunteers may substitute conference call time with off line projects at the discretion of the Subcommittee Chair.

 

7. Volunteer time – estimate 1 hour a month through 2012 for the subcommittee conference call. Estimate an additional 1-2 hours a month depending on the duties assigned to each volunteer.

 

8. Gala Volunteer Names will be published in all Gala materials, unless you request anonymity.

·         Please NOTE: Subcommittee Chairs will set expectations for qualifying for inclusion in all the publications as a Gala Planning Volunteer.

 

9. Attendance at the Gala is strongly encouraged but is not mandatory. All attendees are expected to purchase their own tickets as a reflection of support for ICHP and the 50th Anniversary Gala event. (Ticket prices are set at $75 per person.)
